Privacy Policy
Privacy Policy
How personal data submitted through this website is handled.
This policy explains how iceMax SG Pte. Ltd. (“iceMax”, “we”) collects, uses, discloses and protects personal data, in accordance with the Singapore Personal Data Protection Act 2012 (PDPA). It applies to icemax.net and to personal data we receive when you correspond with us.
Effective 4 October 2026.
Data protection contact
Our Data Protection Officer is the contact for every question, request or complaint about personal data:
iceMax SG Pte. Ltd., 35 Ann Siang Road, Singapore 069714
Please use this address rather than our general enquiry address for anything concerning your personal data, so that it reaches the right person and is logged correctly.
What we collect
When you email us. Your name, email address, employer, and whatever else you choose to include in your message or attachments. Applications sent to our careers address include the contents of your CV.
When you use the enquiry form. Our contact page has an enquiry form, submitted through Google Forms. What it collects is whatever that form asks for at the time — typically your name, email address, organisation and the substance of your enquiry. Responses are delivered to Google’s servers and stored in our Google Workspace account; Google acts as our processor for them, and its own privacy policy governs the handling of the submission in transit. Submitting the form is voluntary; the same enquiry can be sent to the address on the contact page instead.
When you visit this website. We operate no accounts or comment functions, and apart from the enquiry form nothing is collected from you directly. Our website and its security layer generate technical records automatically:
- Server and edge logs — IP address, timestamp, page requested, browser user agent, and the outcome of security filtering. These are produced by Cloudflare, which serves and protects this site.
- Analytics — Google Analytics 4, loaded through Google Tag Manager, which records pages viewed, approximate location derived from IP address, device and browser type, and how you arrived at the site. IP addresses are anonymised by Google Analytics before storage.
We do not collect special categories of personal data through this website, and we do not ask for identification documents, financial details or payment information on it.
Why we use it
- To reply to your enquiry, whether sent by email or through the enquiry form, and to carry out the work you engage us for
- To assess applications for employment
- To operate, secure and troubleshoot this website, and to detect and block abuse
- To understand in aggregate which pages are read, so we can improve them
- To meet legal, regulatory and record-keeping obligations
We do not sell personal data, and we do not use it for advertising or automated decision-making.
Consent
By sending us an enquiry — by email or through the form on our contact page — or an application, you consent to our using the personal data in it for the purposes above. For analytics we rely on your consent, which you may decline by using your browser’s controls or an ad-blocker, or by enabling Do Not Track; the site functions normally without analytics.
You may withdraw consent at any time by writing to dpo@icemax.net. We will act on a withdrawal within a reasonable period and tell you the likely consequences — usually that we can no longer progress the enquiry or application concerned. Withdrawing consent does not affect processing already carried out, nor any retention we are legally required to continue.
Who we share it with
We disclose personal data only where it is necessary:
- Service providers acting on our instructions, principally Cloudflare (website delivery and security), Google (analytics, tag management, and the enquiry form and the workspace its responses are stored in), and our corporate email provider. These providers process data on our behalf under contract and may store it outside Singapore.
- Professional advisers, where we need legal or accounting advice.
- Authorities, where disclosure is required by law, court order or a regulator.
Where personal data is transferred outside Singapore, we take steps intended to ensure it receives a standard of protection comparable to the PDPA, as section 26 requires.
How we protect it
Access to correspondence and applications is limited to the people who need it for the purpose it was given. Email and workspace accounts require multi-factor authentication. The website is served over TLS, with the origin reachable only through the Cloudflare edge. Our own infrastructure is operated to the practices described under What We Do.
No method of transmission or storage is completely secure. If a data breach occurs that is likely to result in significant harm, or is of significant scale, we will notify the Personal Data Protection Commission and affected individuals as the PDPA requires.
How long we keep it
- Enquiry correspondence and form submissions: for the duration of the discussion and up to 24 months afterwards, so that we have context if you return to us
- Client records: for the term of the engagement and afterwards for as long as required by law, contract or limitation periods
- Unsuccessful job applications: up to 12 months, in case a suitable role opens, unless you ask us to delete them sooner
- Server and edge logs: retained by Cloudflare on its standard retention schedule
- Analytics data: retained by Google on the retention period configured for our property
When personal data no longer serves the purpose it was collected for and no legal requirement to retain it remains, we cease to retain it.
Your rights
Under the PDPA you may ask us:
- For access — what personal data of yours we hold, and how it has been used or disclosed in the past year
- For correction — to correct an error or omission
- To withdraw consent — as described above
Write to dpo@icemax.net. We may need to verify your identity before acting. We aim to respond within 30 days; if we need longer we will tell you when to expect a reply. A reasonable fee may apply to an access request, and we will give you a written estimate before proceeding. Where the PDPA permits us to refuse a request, we will tell you why.
If you are not satisfied with our response, you may contact the Personal Data Protection Commission of Singapore at pdpc.gov.sg.
